Welcome to The Sandtrap Golf Bays. These Terms and Conditions explain the rules, policies, and expectations for using our website, booking golf bays, purchasing memberships, participating in leagues or events, visiting our facility, and using our services.

By using our website, making a reservation, purchasing a service or membership, registering for a league or event, or visiting our facility, you agree to these Terms and Conditions.

Bookings And Reservations

Guests may book golf bays online through our website or approved booking system. Reservation availability, pricing, bay times, and business hours may vary and are subject to change.

Guests are responsible for arriving on time for their reservation. Late arrivals may result in reduced playing time. Additional time is not guaranteed and may only be added when availability permits.

The person making the reservation is responsible for their group and for ensuring all guests follow facility rules, safety requirements, and staff instructions.

Cancellations And Refunds

Reservations canceled more than 24 hours before the scheduled start time are eligible for a refund.

Reservations canceled within 24 hours of the scheduled start time are non-refundable. However, guests may request credited bay time for a future visit if the canceled bay time is rebooked by another guest. If the canceled time is not rebooked, no refund or credit will be issued.

Credit requests must be made within 24 hours of the original reservation start time. Requests made after that time will not be honored.

No-call/no-shows are non-refundable and are not eligible for credit.

Different cancellation or refund policies may apply to memberships, leagues, tournaments, private parties, special events, or other special purchases when specifically stated.

Bay Time And Group Size

Golf bay reservations are for the specific amount of time purchased. Groups must finish within their reserved time unless additional time is available and purchased.

A maximum of 6 golfers per bay is permitted unless otherwise approved by The Sandtrap Golf Bays.

Guests are responsible for managing their playing pace so their round or session finishes within their reserved time.

Golf Bay Safety

Golf clubs may only be swung from the designated hitting area in the center of the golf bay.

Only one person may swing a golf club in a bay at a time. All other guests must remain safely behind and clear of the person swinging.

Practice swings outside of the designated hitting area are prohibited.

Guests must remain aware of their surroundings and maintain a safe distance from anyone swinging a golf club.

Guests must follow all posted safety rules and staff instructions.

Facility Rules And Safety

Guests must use all golf bays, equipment, arcade games, pool tables, dartboards, and other facility areas safely and responsibly.

Guests agree to:

Follow all posted rules and staff instructions.
Use equipment only for its intended purpose.
Supervise children and minors.
Respect other guests, employees, and property.
Avoid reckless, dangerous, abusive, or disruptive behavior.
Avoid interfering with the enjoyment or safety of other guests.

The Sandtrap Golf Bays reserves the right to refuse service or require guests to leave the facility for unsafe behavior, excessive intoxication, harassment, property damage, disruption, failure to follow staff instructions, or violation of facility policies.

Damage To Property

Guests may be held financially responsible for damage they cause to golf bays, TrackMan equipment, simulator screens, projectors, golf clubs, golf balls, furniture, arcade games, pool tables, dart equipment, televisions, fixtures, or any other property belonging to The Sandtrap Golf Bays.

This includes damage resulting from misuse, negligence, reckless behavior, intentional acts, or failure to follow facility rules and staff instructions.

The individual responsible for the damage and/or the person responsible for the reservation may be charged for reasonable repair or replacement costs when permitted by law.

Alcohol And Food Service

The Sandtrap Golf Bays serves food and beverages, including alcoholic beverages.

Guests must be 21 years of age or older to purchase, possess, or consume alcoholic beverages. Valid government-issued identification may be required.

The Sandtrap Golf Bays reserves the right to refuse or discontinue alcohol service to anyone who appears intoxicated, cannot provide acceptable identification, behaves unsafely, or otherwise violates applicable alcohol-service requirements.

Outside alcohol is not permitted.

Guests are responsible for informing staff of relevant food allergies or dietary concerns. Our kitchen handles a variety of ingredients, and we cannot guarantee that any menu item is completely free from allergens or cross-contact.

Minors

Guests under 18 must be supervised by a parent, guardian, or responsible adult.

Parents, guardians, and supervising adults are responsible for the conduct and safety of minors in their group.

Children may not enter golf hitting areas or use facility equipment in an unsafe or unsupervised manner.

Personal Belongings

Guests are responsible for their personal belongings.

The Sandtrap Golf Bays is not responsible for lost, stolen, misplaced, or damaged personal property to the extent permitted by applicable law.

---Membership Terms And Conditions ---

Memberships at The Sandtrap Golf Bays are subject to the benefits, restrictions, pricing, availability, and usage rules disclosed at the time of enrollment or purchase.

Memberships are non-transferable. The registered member must be present when membership benefits are used.

Unless otherwise stated:

Membership benefits may not be transferred, sold, shared, or assigned to another person.
Unused monthly benefits do not roll over to future months.
Membership benefits have no cash value and may not be exchanged for cash.
Membership benefits are subject to availability and applicable booking restrictions.
Daily, weekly, monthly, or time-of-day usage limits may apply depending on the membership purchased.
The registered member must be present for any reservation using membership benefits.
Standard reservation, cancellation, safety, and facility rules continue to apply.

Membership pricing, included benefits, discounts, food or drink offers, booking privileges, usage limits, and other membership features may vary by membership type and may change for future membership periods or offerings.

The specific benefits, restrictions, and rules presented at the time a membership is purchased will apply to that membership.

The Sandtrap Golf Bays reserves the right to suspend or terminate membership privileges for misuse of membership benefits, sharing or transferring benefits, repeated violations of facility rules, fraudulent activity, abusive behavior, or other misuse of the membership program.

If membership-specific terms provided at the time of enrollment conflict with these general Terms and Conditions, the membership-specific terms will control.

---League And Tournament Terms And Conditions---

Participation in leagues and tournaments at The Sandtrap Golf Bays may be subject to additional rules regarding registration, team size, scheduling, scoring, handicaps, course settings, mulligans, gimmies, substitutions, deadlines, prizes, and other competition-specific requirements.

Participants are responsible for reviewing the specific rules for their league or tournament before registering or beginning play.

League Payments And Refunds

League registration fees may be refunded before a participant or team begins participation in the league, subject to any league-specific policies or deadlines.

Once a participant or team begins its first league round, the league registration fee becomes non-refundable.

Beginning any portion of the first official league round will be considered participation in the league.

Once league participation has begun, refunds will not be issued because of missed weeks, scheduling conflicts, withdrawal from the league, failure to complete future rounds, inability to attend, or a participant's decision to stop playing.

This policy applies whether the league fee was paid individually or on behalf of a team.

Scheduling And League Rounds

League participants are responsible for completing their rounds within the designated playing period or deadline.

Reservations are subject to availability. Participants are responsible for scheduling league rounds early enough to complete them before the applicable deadline.

Failure to complete a league round within the required period may result in a missed round, score penalty, forfeiture, or another consequence stated in the rules for that particular league.

Unless specifically permitted by the applicable league rules, each participant or team is limited to one official attempt at each league round.

Rules And Scoring

Participants must follow all announced league settings and competition rules.

League or tournament rules may address:

Team format.
Course and tee selection.
Handicaps.
Gimmie distance.
Mulligans.
Scoring format.
Weekly deadlines.
Substitutions.
Tiebreakers.
Prize eligibility.
Other competition-specific rules.

The Sandtrap Golf Bays reserves the right to review scores, correct obvious scoring or administrative errors, resolve disputes, and make final decisions regarding interpretation and enforcement of league and tournament rules.

Cheating, intentional score manipulation, handicap manipulation, unauthorized replaying of rounds, or other attempts to gain an unfair competitive advantage may result in disqualification without refund.

Prizes

League and tournament prizes may vary based on participation, league format, entry fees, and the rules announced for the applicable competition.

Prize structures may include golf bay time, cash prizes, gift cards, merchandise, or other awards.

Participants must satisfy all applicable league or tournament requirements to remain eligible for prizes.

The Sandtrap Golf Bays reserves the right to adjust prize structures when the published rules for a particular league or tournament allow prizes to vary based on participation.

League And Tournament Conduct

League and tournament participants must follow all general facility rules and staff instructions.

Unsafe conduct, harassment, abusive behavior, intentional damage, cheating, or serious rule violations may result in removal or disqualification without refund.

If specific league or tournament rules conflict with these general Terms and Conditions, the rules published for that particular league or tournament will control.

Events And Private Parties

Private parties, corporate events, group reservations, and other special events may be subject to separate pricing, deposits, payment requirements, cancellation policies, food and beverage arrangements, guest limits, or written agreements.

Any terms specifically provided for an event or private booking will apply in addition to these general Terms and Conditions.

If event-specific terms conflict with these general Terms and Conditions, the event-specific terms will control.

Website Use

Our website is provided for general information, reservations, inquiries, promotions, and other business purposes.

We make reasonable efforts to keep website information accurate and current, but errors or outdated information may occasionally occur.

Prices, hours, menu offerings, events, specials, promotions, membership offerings, availability, and other business information may change without notice.

Unauthorized attempts to interfere with, damage, access, or misuse our website or associated systems are prohibited.

SMS And Text Message Terms

The Sandtrap Golf Bays may offer guests the option to receive text messages.

If you consent to receive transactional text messages, you may receive messages regarding reservations, bookings, events, and inquiries.

If you separately consent to receive marketing text messages, you may receive messages regarding promotions, specials, leagues, and events from The Sandtrap Golf Bays.

Photos And Videos

Photos and videos may occasionally be taken in public areas of The Sandtrap Golf Bays for social media, marketing, promotional, or operational purposes.

We make reasonable efforts to respect the privacy of our guests. If you do not wish to appear in photos or videos being taken by our staff, please notify a staff member.

Assumption Of Risk And Limitation Of Liability

Golf and other recreational activities involve inherent risks, including risks associated with swinging golf clubs, golf balls, moving around recreational areas, darts, pool, arcade games, and interactions with other guests.

Guests are responsible for using reasonable care, following facility rules and staff instructions, and participating within their own abilities.

To the extent permitted by applicable law, The Sandtrap Golf Bays is not responsible for injuries, accidents, losses, or damages resulting from a guest's misuse of equipment, failure to follow rules or instructions, reckless or unsafe behavior, or ordinary risks inherent in recreational activities.

Nothing in these Terms and Conditions is intended to waive or limit any right or liability that cannot legally be waived or limited under applicable law.

Privacy

Use of our website and certain services may involve the collection and processing of personal information.
